HR and Office Coordinator

We are looking for a person who can keep our coworking space neat and a well-oiled machine, a major player for employee engagement and also, a trustworthy colleague able to help on the HR admin side.

Are you excited about the idea of organising (digital) company events, monthly (in person, when possible) offsites, special treats for our people etc? Do you go mad for organizing things and have a love for ticking things off lists? Would people describe you as a communication champion?

Then we would love to hear from you!

It is our preference to find a person who can work 3 full days, preferably Tuesday, Thursday and Friday.

What are the responsibilities?


HR & Engagement Champion:

Support Celine, our Director of Finance and HR, with the following:

  • Help onboarding new hires and organize offboard leaving employees

  • Responsible for the visa application process

  • Help with HR administration tasks such as 30% ruling application and assisting with the launch of the quarterly engagement survey

  • Keeping employee file up to date

  • You organizate the recurring company meetings (both digital and in person offsites)

  • Be the driver of the volunteer group MoFA - the Ministry of Fun Activities - who organise fun internal events (among the recent ones are a virtual pizza baking night and an outdoor photo competition!)

  • You organize Birthday, Farewells and Anniversary celebrations, set up for Friday drinks (once safe)

  • Send the weekly company newsletter (you can make it completely your own!)

Office Management:

  • You have oversight of our beautiful office: ensuring that the fridge & supplies are well stocked, the office is maintained and the plants get watered.

  • You are a friendly landlord and neighbor to our sublease tenants and help them with their questions and requests; in general help us maintain a great relationship with our landlord, suppliers and vendors too

  • You are a superhero problem solver: when problems occur, you just know what to do (or who to call:) - you request maintenance when necessary and manage the handymen, and help troubleshooting and solving problems around the office

  • Organized is your middle name: you coordinate all office-related operations such as visitors, deliveries, purchasing supplies, and office health and safety.

  • You are handy with computers: You will be managing our user accounts, install and wiping computers (Mac), troubleshoot minor IT issues and helping our colleagues with equipment requests

Requirements

You’ve got what it takes if you are:

  • Experienced in a comparable role (at least 1 or 2 year), preferably in a startup environment

  • Advanced or native level English & Dutch (this is a MUST)

  • An A+ communicator: at Impraise we #defaulttoopenness and we #daretobechallenged so you’re not afraid to speak up, ask for help, say no when necessary, and let everyone in the company know the things that are happening in your domain. We consider this a vital skill in order to be successful in the role.

  • Tech-savvy: experience with all general software packages like Microsoft Office, Google Docs, Apple OS. You aren’t an Apple Genius but you’re not afraid to tackle IT issues when they come your way.

  • Proactive and autonomous: always thinking one step ahead, finding solutions for issues, and doing what you see needs to be done.

  • Experienced organizing events: because this role will require you to organise company offsite days and social events it would be ideal if you have prior experience.

  • Positive, people-oriented with unlimited energy

  • Excited by challenge and change

  • Already authorized to work in the Netherlands, no visa sponsorship available
